Minutes of the January 7th, 2008 GHBPA Board Meeting

 

The meeting was called to order at 7:05 pm by President Ellen Gellene.  A motion was made to dispense with the reading of the December minutes; the motion was seconded and passed.  There was an online vote of the Executive board to offer double points for bingo on January 4th, 2008.  The measure passed with a unanimous for double points.

The nominating committee of Jacquie Bannat, Karen Tosten and Kathy Faron presented the slate for the 2008-2009 GHBPA executive board as follows:

There will a general membership meeting on February 11, 2008 to vote on the slate of officers and at that time the details of the spring educational seminar will be discussed.

 

Robin Taylor- Color guard would like to acquire rifles to use in routines, new flag bags are needed.  Would like to purchase material for practice flags that is the same as the material in the performance flags.  Mr. Kirsch recommended that unless we have a larger guard component, rifles would not work on the field. 

 

Diane Deutsch - brought up the South Carolina Honor band.  Gabe Stone has submitted 8 names.  The entrance fee is $100.00 per student, there is a line item for this event in the budget  which is not sufficient to cover both a portion of the student fee as well as pay for gas and room for chaperones.  Diane will provide the Executive Committee with figures for room and gas and an email vote will be conducted.

 

Mr. Kirsch  -Thanks for all the help with district band.  There was about a 30% no show at registration.  Grafton has 58 students representing us on the band, the estimated fees for those students is $1740.00.  A motion was made to increase the budgeted expense for district band by $600.00, it was seconded and passed.  Twenty students are eligible to audition for all state band at JMU.  There are 196 students who have put deposits down for the spring educational seminar.  Need to look at the situation of buses, more information to follow.  Mike Powell indicated that the security system was partially installed over the weekend.  The cables still need to be run, a time will be arranged with the school was a genie lift operator is available.

 

Peter Gaddis - there are $6627.65 in proceeds from bingo that need to be spent. A motion was made to place a deposit with Super Holiday Tours for the spring educational seminar, it was seconded.  The motion passed.  Peter asked that the meetings be moved to the middle of the month to have more time to prepare financial statements.  There is still a need for more game managers and help for things jobs not done at the bingo hall.

 

Alice Taylor - no report

Jacquie Bannat- the Executive Board needs to let her know if they want to chaperone the trip by January 31.  Paper work will go home Feb. 7 and 8. There will be notaries at the meeting on Feb. 11 and at the prefestival concert on March 4.  March 4 is the deadline to submit forms.  Jacquie also presented Chaperone Selection Guidelines.  (see attached)

Kathy Faron - marching uniforms have been cleaned and will be returned tomorrow.  Additional hat boxes have been ordered and 54inches breathable garment bags have also been ordered.

 

David Gellene - A motion was made to retroactively award 25 leadership points to the scrip chairperson, historian and instant leads from bingo, for this year.  The motion was seconded and it passed.

Barb Devaney- wants to have on hand some stock of premade spiritwear for the band in the fall.

Julie Smith - some people thought that the fruit sale profits were 50%.

Yvonne Beyer - for the student volunteers set a dollar or food amount for their tickets.

 A motion was made to purchase a Sam’s Club business membership ($35.00annaully) for the band.  The motion was seconded and passed.

 

Pat Marcolini- no report

 

Dot Bowling - As of 31 December 2007 there was $38,386.86 in the band account.

That is divided into    $1000.50 equipment account

                                   $19263.11 scholarship account

                                   $13593.90 student accounts

                                   $5170.34 uniform account

So far this year the scrip program has made $2300.00

 

Mike Powell - the head count for spring seminar is 196, 101 females and 95 males.  Students need to get their volunteer hours turned in through whichever adult they volunteered.  A motion was made to allot $19,000.00 from the scholarship fund for this trip. It was seconded and passed.
