GHBPA Scholarship Program
I. Introduction
The
GHBPA Scholarship Program promotes academic excellence, performance excellence
and service excellence, while supporting participation in all aspects of the
Grafton High School Band.
II. Program Criteria
A. Academic
Excellence credit(s) will be awarded for academic
excellence according to the following criteria:
All band members
(including Color Guard members) earning "As" or "Bs"
(regardless of course weight) in any subject will receive academic credit(s) for
the respective quarters according to the following formula:

Every
"A" will earn 2 academic credits.
·
Every
"B" will earn 1 academic credit.
To receive credits,
the student shall provide a copy of their report card to the Student Account
manager via the Student Account Box (white box) located in the band room no
later than 10 calendar days after report cards are issued at the end of each
quarter.
Academic credit will
only be awarded for the first three quarters’ report card grades.
B. Performance
Excellence credits will be awarded for performance
excellence according to the following formula:

Band
members selected for District Band will each receive 4 performance credits.
·
Band
members selected for All State Band will each receive an additional 4 performance
credits.
·
Marching
Band members (including Color Guard) winning Grand Champion at any band
competition will receive 5 performance credits for each winning competition.
·
Marching
Band members (including Color Guard) receiving a "Superior" for
Virginia Band and Orchestra Directors Association (VBODA) Marching Festival
will each receive 5 performance credits.
·
Concert
Band, Symphonic Band and Wind Ensemble members earning a "Superior"
rating with their respective band at the VBODA Spring Festival will each
receive 5 performance credits.
·
Jazz
Ensemble members earning a "Superior" rating at the Jazz Band Spring
Festival will each receive 5 performance credits.
The Band Director will
be responsible for providing a list of those band members making District and
All State Bands as well as general band ratings and awards throughout the year
to the Student Accounts Manager for compilation and recording.
C. Service
Excellence credits will be awarded for service
excellence according to the following formula:
1. Bingo Service Credits
Students will receive 30 service credits for each full Bingo
game session worked by either themselves or someone they recruited.
Students will receive
specialized service credits for each full Bingo game session in which someone
they recruited or performs one of the following designated positions:
Game Manager: 55
service credits per event
Admissions Manager: 40
service credits per event
Instants Manager: 40
service credits per event
Floor Manager: 40
service credits per event
Bingo Caller: 55
service credits per event
Individuals cannot earn multiple
credits for serving in multiple leadership and/or worker positions during a
single Bingo game session.
Verification of events
worked will be derived from the Bingo sign-in sheets for each game held at the
Bingo Hall. The Bingo Manager will be responsible for forwarding (email
preferred) each Bingo game’s sign-up sheet to the Student Accounts Manager for
compilation and recording following each Bingo game.
An individual signed
up to work Bingo must work the entire event/full session to be eligible for
Bingo service credits.
Commencing February 1
of each calendar year, rising freshmen and their families may volunteer to work
Bingo. Students must be 13 to work Bingo. Students are eligible for Bingo Service
Credits for working a game or for recruiting a volunteer.
The 3 rd Vice President (Bingo) may
petition the Executive Board for approval and awarding of additional service
credits for Bingo volunteer work when it is difficult to get volunteers due to
extenuating circumstances (for example, double competitions, holidays, school
functions, etc.).
2. GHBPA Leadership Service Credits
Students will receive
specified service credits for which either their parent or legal guardians
serve in one or more of the following Executive/Committee Positions:

Executive Committee members
shall designate to the Student Accounts Manager a student beneficiary for their
earned leadership service credits.
Students will receive
multiple service credits for any parent and/or legal guardians serving in
multiple Executive/Committee positions.
If a Committee is co-chaired, then the service credits will divide
evenly between the effected student beneficiaries.
The GHBPA leadership
service credits will be posted to the designated student beneficiaries on
January 31.
If an Executive Board Member or Committee Chair leaves their
position prior to January 31, then service credit will be prorated based on the
time served.
III. Funding
The
Bingo program will budget $25,000 for Spring Educational Seminar Scholarships,
$5,000 for Preparatory Course Scholarships and $5,400 for Private Lesson
Scholarships and Senior Scholarships in order to reach a total funding
objective of $35,400 in scholarship awards
(provided funds are available).
IV.
Disbursement
A. Spring Educational Seminar Scholarships
A maximum of $25,000
in Spring Educational Seminar Scholarships will be offered (funds permitting) to help recipients with the cost of the
Spring Educational Seminar. Fund allocation shall be determined by the GHBPA
Executive Board no later than the February board meeting.
Students shall apply
for a Spring Educational Seminar Scholarship based on their individually
accrued academic, performance and service credits. The student’s parent or
legal guardian shall sign the application which can be downloaded from the Band
website (www.graftonband.com) (see Spring Educational Seminar Scholarship
application).
Applications for the
Spring Educational Seminar Scholarships shall be turned in to the Student
Account Box in the Band room no later than February 15.
A maximum of 600
credits per student may be allocated towards the Spring Educational Seminar
Scholarship Application.
A scholarship “award
factor” is determined by dividing the total allocated scholarship funds by the
total number of allowable applicant credits.
Each student’s allowable credit is then multiplied by the “award factor”
to determine the individual student’s scholarship amount.
The total amount of an individual’s scholarship award cannot
exceed the individual’s cost of the function and may not be used as
“spending-money.”
B. Summer Preparatory Course Scholarships
A maximum of $5,000 in
Summer Preparatory Course Scholarships will be offered (funds permitting) to help recipients with the cost of the
Summer Preparatory Course. Fund
allocation shall be determined by the GHBPA Executive Board no later than the
August board meeting.
Students shall apply
for a Summer Preparatory Course Scholarship based on their individually accrued
academic, performance and service credits. The student’s parent or legal
guardian shall sign the application which can be downloaded from the Band
website (www.graftonband.com) (see Summer Preparatory Course Scholarship
application).
Applications for
Summer Preparatory Course Scholarships shall be turned in no later than the 1st
Friday of the Summer Preparatory Course.
A maximum of 100
credits per student may be allocated towards the Summer Preparatory Course
scholarship application.
A scholarship “award
factor” is determined by dividing the total allocated scholarship funds by the
total number of allowable applicant credits.
Each student’s allowable credit is then multiplied by the “award factor”
to determine the individual student’s scholarship amount.
The total amount of an individual’s scholarship award cannot
exceed the individual’s cost of the function.
Summer Preparatory Course
Scholarships cannot be used to offset costs associated with band instruments,
rental fees, music books, uniform expenses, concert fees or equipment (for
example, marching shoes, socks, wind suits, shorts, flag poles, or concert
clothes) or school fees.
C. Additional
Scholarships
A total of $5,400 in
private lesson and senior scholarships will be offered through an application
process. All requirements are listed on
the applications which are available from the Band Director.
All students have an opportunity
to apply for scholarships for private music lessons.
Graduating seniors
have an opportunity to apply for scholarships in musicianship, leadership and
service qualities.
V. Additional Comments
Financial
Hardship scholarships ae available by contacting the GHBPA Executive Board.
Credits
shall only be recorded in individual students’ names.
Credits must be earned and cannot be awarded
prematurely.
Any
credits remaining in the student’s account upon their graduation or departure
from the band will become null and void.
Credits
may not be transferred to a sibling or other students because they are tied to
the excellence of that particular student.
Adult Bingo volunteers also
accumulate volunteer hours for their work, which will be considered when
selecting chaperones for the Spring Educational Seminar. (See Chaperone Policy)
Mileage
reimbursements shall be calculated using the current IRS rate. (see Mileage Reimbursement Policy)
The
Scholarship Committee shall meet annually, if necessary, no later than October 15 to review and make recommendations
toward any changes to the GHBPA Scholarship Program. These changes must be
approved and implemented by the Executive Board and committee chairs no later
than January 31.
The
3 rd Vice President (Bingo) and the Student
Accounts Manager will be present as advisors to the Scholarship Committee to
provide input as necessary or appropriate.
The disbursement of funds for
scholarships is dependent on the revenue earned through Bingo. In the event
that Bingo is put on hold (for whatever reason) students can still accrue
credits.
This program shall become effective February
1, 2008.
